December Meeting

Please note that our planning meeting notes from October are listed in the previous entry. Scroll down in the posting of 10/28 and see the description of officers for the new year. Please talk with your 3rd grade and above 4-Hers about those jobs and how they might contribute to the club this year. At the December 11 meeting they will have opportunity to say if they would like to run for an office. We are encouraging them to volunteer for service, not just nominate others. Officers will then be elected in January. Those under 3rd grade (minis and cloverbuds) get to watch and learn.

Meeting: Friday, December 11, 2009 1-3 pm The Chapel

Bring: Christmas snack and men's white socks and/or underwear(size XL or larger) for prison ministry. Donations will go through a house church at Grace Gathering in New Haven.

WE ARE NOT HAVING A 4-H GIFT EXCHANGE.

Info About Upcoming Year (Minutes from our planning meeting)

2009-10 Blue Ribbons 4-H Planning Meeting

Wed., October 7, 2009 Georgetown Library, 7-9pm

In attendance: Sue Lange, Amy Minard, Julie Scheele, Jeanne Nolan, Zach Nolan, Trish Richhart (and Sam), Daisy Groves, Christopher Bailey, Stephanie Bailey

Why are we doing this?
Here were some key goals we desire to emphasize in 4-H: community service, relationship building, training/skill growth of our children.

Meeting location and time: 2nd Fridays, 1-3pm., The Chapel (Community Room), December thru May. June meeting TBA.

Officer changes and the creation of a nominating committee:

Each club member will fill out a ballot/form at the December meeting to nominate themselves or others for offices. A nominating committee (2 parents plus 2 or 3 past officers) tallies suggestions to make a slate of officers and presents it at the January meeting for elections. A suggested three names per office would eliminate the "I'm the only one who lost" syndrome.

Officers:
President - Conducts meetings. Involved in contacts and decision-making for club activities - community service. Use correct parliamentary procedure and corrects/instructs members in presenting motions.

Vice President / Program Chairman - Fills in for president when absent and chairs the program portion of the meeting. "Recruits" people to give demonstrations or project talks and then notifies them two weeks ahead of meetings by phone.

Secretary - Chooses role call question. Keeps notes at each meeting. Presents past meeting's notes to the club. Keeps records of attendance.

Treasurer - Keeps financial information for the club. Responsible for communication with 4-H office about membership fees and project manual purchases. Fills in at meetings for Vice President if absent as the program chair.

Opening Prayer - Opens meetings with prayer. (Replaces Devotions Leader)
Recreation Leader - Plans and leads club in recreation time at the end of each meeting. (10 minutes)

Health and Safety Leader - Presents a safety tip at each meeting. (1-3 minutes)

Communications Leader - Puts together e-mail announcements for meetings and events 2 weeks in advance. Gets information to Trish to maintain website or if can maintain the website, would do so. Would submit any information to news sources as appropriate.

Greeters (2) - Greets those attending meetings and makes sure name tags and markers are used to identify members and adults.

Monthly jobs as assigned by president: Flag salutes.

Do we pursue club awards? Suggest choosing no more than three service opportunities.
We decided pursuing county awards as a club is not a high priority.

Meeting schedule:
We are not starting in November .

December - Begin officer elections by filling out surveys. Hand out last year's awards/pins. CHRISTMAS PARTY. Make an ornament and bring donation for food bank or prison ministry (white socks/underwear)? We decided to NOT have a gift exchange but will have snacks.

January - Actual officer elections held. Membership forms and project questionnaires filled out. Dues and fees should be completed as much as possible at this meeting. Jeanne Nolan will likely field most of this this year.

February- 4-Hers bring ideas for community service to present to club. Members shall vote on participation in service.

March - Project show and tell.

April -

May - We decided not to continue service work at Stillwater Ranch this year.

June - No formal meeting at The Chapel. Leaders available to sign books and help with project questions. (TBA)

July - Get together at the fair? After Saturday's exhibit hall watch? Splitting watch hours. (TBA)

August - End of year party at park pavilion (Franke/ Foster/ Dupont/ Buchner)? (TBA)

Adult/Leader/Older 4-Hers - 9th grade and up Questionnaire: Will work this into family "sign-up" at first of year or at enrollment meeting in Jan. Example below:

Project:
I hated it and would never recommend it.
I liked it and could give advice.
I could teach it to someone if they asked.
I want to provide times to work on project workbooks.

From the Allen County 4-H Office:
2009 4-H Program Enrollment
With the flip of a calendar and the start of
a new year, it is time to renew your 4-H membership for 2009. As a
previous member in the nations’ largest youth organization, we hope that you are
planning on joining again to continue building your career path with 4-H
projects, contests and activities.

We are encouraging those with
access to the internet to start their enrollment process by going to the on-line
enrollment site to select your projects and primary 4-H unit for 2008. The
membership and parental/guardian form will still need to be printed out, signed
and given to your club leader or mailed to the Extension Office along with your
annual enrollment fee. (https://www.four-h.purdue.edu/enroll/)

Another
option is to print out the enrollment form from our web site: www.ces.purdue.edu/allen and take the
completed form to your next 4-H Club meeting. Remember that it must be
signed by the member and a parent/guardian. Also mark which manuals you
will also need.

Things to
note:
· You must submit a
completed Allen County 4-H enrollment form each year in order to be eligible to
participate in the 4-H
program.
· Members are
expected to pay for their manuals and dues at the time of
enrollment.
· Deadline for
enrolling to participate in the July 2009 County Fair is May 1 for existing
members.
· Enrollment fees -
$10.00 for grades 3-12 and $5.00 for PreK-grade
2.
· Grade is determined by
your school grade as of January 1, of the current exhibition
year.
· Remember that some
animal projects have earlier identification dates. Refer to the 4-H
newsletter for specific dates and
times.
· If you are in a
community club and also taking Dog, Horse, Llama or Shooting Sports, you will
need to fill out an additional enrollment form for those projects. Dog
enrollments are due February 20,
2009.
· Allen County Fair –
July 21-26, 2009.

It would be helpful if you would have your enrollment forms filled out before Friday's meeting. You can do this online at the link above or print out the form attached to the e-mail you should have received from the 4-H office on Monday (1-5-09)

4-H members are encouraged to bring completed projects, posters and books from past years to share with the group. This is a great opportunity to show off all your hard work!

As always, each family is asked to bring a finger food snack to share for refreshments.
